Capoeira Club Essex takes your privacy, and the privacy of your children, seriously. This policy explains what information we collect, why we collect it, how we look after it, and the rights you have over your own data. Capoeira Club Essex is operated by Capoeira Club Essex Ltd, a company registered in England and Wales (company number 14801536). Our directors are Rui De Sousa and Maya Walters. We run capoeira classes for children and adults across East London and Essex, alongside birthday parties, school workshops, nursery programmes and performances.
For any questions about your data, please contact us at info@capoeiraclubessex.co.uk. We do not publish a postal address on the website for safeguarding reasons, but our registered office details are available through Companies House if you need them.
For the purposes of UK GDPR and the Data Protection Act 2018, Capoeira Club Essex Ltd is the data controller for the personal data we collect through our services.
The data we hold depends on how you interact with us. The main categories are:
When you fill in an enquiry form, email us, or book a birthday party or workshop, we collect your name, email address, phone number, and whatever details you choose to share with us about your enquiry. We use this only to reply to you and, if it goes ahead, to deliver the service you booked.
If your child joins one of our classes, we ask you to complete a registration form. This includes the parent or guardian's name and contact details, your child's name, date of birth, an emergency contact, and any medical information you feel we should know about (allergies, conditions, medication). We only ask for what we genuinely need in order to keep your child safe in class.
Term fees, insurance, uniform purchases and other payments are handled by Stripe, our payment processor. Card details are entered directly into Stripe and we never see or store your full card number. Stripe shares transaction confirmation with us so we know a payment has been made.
Every student is covered by WAKO annual liability insurance. To register you or your child with WAKO, we share the participant's name, date of birth and the parent or guardian's contact details. Nothing more.
Our website is hosted by IONOS. Like most websites, it uses cookies and lightweight analytics so we can understand how the site is used. There is more detail in the Cookies section below.
Because we work with children, we treat their data with particular care. All the personal information we collect on the registration form, including sensitive information such as medical details or safeguarding notes, is held for one purpose only: to keep your child safe while they are in class with us and to allow us to respond quickly in an emergency.
This information is not used for marketing. It is not shared beyond the people who genuinely need it (the coach in charge of the class, and our administrators). It is not passed to third parties.
Our coaches working with children are DBS-checked and have completed safeguarding training. Where a safeguarding concern arises that we are legally or professionally obliged to report, we may need to share information with the relevant authority. Where we can, we will tell you before we do this.
We sometimes take photos and video in class, at events, at birthday parties and at performances, for use on our website, on social media (Instagram, YouTube) and in printed or digital materials.
For children, this is strictly opt-in. On the registration form you tell us whether you agree for your child to appear in photos or video used by Capoeira Club Essex. If you do not opt in, we do not use images of your child in any marketing or public content. You can change your mind at any time by emailing us and we will remove images of your child from anything we control.
For adults, attending a class or event constitutes your consent for us to use general photos and video, unless you tell us otherwise. Please just let a coach know and we will make sure you are not featured.

We take reasonable steps to keep your data safe. Our website uses HTTPS to encrypt information you send us. Payments go through Stripe, which is PCI-compliant. Access to registration data is restricted to the small number of people at Capoeira Club Essex who genuinely need it to run classes or respond to your enquiry.
No online service can guarantee absolute security, but we use best-practice measures and review them regularly.
